How Smart Care Intel uses artificial intelligence

Clear information about the limited, controlled role of artificial intelligence in Smart Care Intel.

Core analysis stays in-house Artificial intelligence supports clarity; it does not make care-quality decisions.
At a glance

What this means for your information

Our normal service continues to work if an external artificial-intelligence service is unavailable.

1

We process core data ourselves. Matching, scoring, timelines and rules are completed within our own systems.

2

Only minimal de-identified text is used. Full documents, care records and personal information are not sent externally.

3

People remain in control. Suggestions help with clarity and checks; they never determine a rating or outcome.

Core approach

A controlled hybrid approach

Most analysis is deterministic, repeatable and carried out within Smart Care Intel.

Smart Care Intel uses secure in-house processing as its core intelligence. Artificial intelligence is used sparingly, only after sensitive processing has been completed internally, to help make selected outputs clearer and more consistent.

Processed entirely in-house

  • Structured extraction and cleaning of uploaded inspection documents
  • Mapping data to the 34 CQC Quality Statements
  • SQL-based scoring logic and rules aligned to regulatory expectations
  • Timeline analysis, cross-domain linking and quality-statement modelling

Where external assistance can help

  • Explaining how a short excerpt relates to grading characteristics
  • Highlighting missing context or an inconsistency
  • Proposing an improvement suggestion aligned with a Quality Statement
  • Improving the clarity and readability of selected narrative output

Artificial intelligence enhances clarity; it never generates ratings, determines outcomes or creates fictional results.

Data protection

What is, and is not, sent externally

Before any selected text is sent to an external service, we reduce it to the minimum non-identifiable, statement-level content required for that task.

We do not send

  • Resident information, care records or clinical data
  • Staff names or personal details
  • Addresses, dates of birth or unique identifiers
  • Full reports, uploaded PDFs or unprocessed documents

Only limited material may be used

  • De-identified text fragments
  • Statement-level summaries
  • High-level descriptions of practice
Decision boundaries

It is never the decision maker

Artificial intelligence does not determine ratings, override rules, or create findings that do not exist in the source material.

All final scoring, outcomes and classifications are produced by Smart Care Intel’s own structured logic, rules engines and compliance frameworks.

No clinical or medical advice is provided. Smart Care Intel supports quality, governance and regulatory work; it does not provide diagnosis, treatment guidance or individual medical assessment.
In-house intelligence

The data and analysis that stay within Smart Care Intel

Our structured datasets and rules-based analysis do not depend on artificial intelligence.

Care-quality intelligence

More than 33 million CQC data points support sector-wide statistics, trend analysis, risk indicators and predictive modelling.

  • Pattern analysis across historic CQC material
  • SQL full-text search and phrase detection
  • Rules based on NHS, NICE, MHRA and HSE guidance

Organisation intelligence

Companies House and HMRC datasets support governance checks and due-diligence reporting.

  • Company records, directors and officers
  • Financial filings and accounting periods
  • Charges, mortgages, insolvency and administration filings

These datasets are processed using structured, rules-based logic within our secure environment. They are not sent to external artificial-intelligence services.

Governance

Safeguards and accountability

  • Prompts, responses and relevant metadata are logged for audit purposes.
  • Model versions are recorded to support consistency and reproducibility.
  • Outputs are checked before being stored or shown.
  • Data minimisation and privacy by design are built into the process.
  • Use is monitored for bias, drift and unintended behaviour.
Resilience

The service remains usable without it

Core features remain available if an external service is temporarily unavailable, including scoring, extraction, mapping, timelines and structured analysis.

Only optional enhancements such as generated procedures, narrative summaries and detailed interpretation checks rely on external assistance.

Why this matters

More controlled than a general chat tool

A general chat tool does not know the relevant CQC framework, cannot apply Smart Care Intel’s structured rules, and does not provide an audit trail within your service.

General-purpose chat tools

  • Are not bound to CQC Quality Statements or our rules
  • May not use sector-specific regulatory context
  • Do not have our audit, minimisation and governance controls

Smart Care Intel’s controlled use

  • Uses a limited, de-identified excerpt for a defined task
  • Places suggestions in the relevant CQC context
  • Records the request and keeps people responsible for decisions
